Just like most organisations around the world, Santa Claus also relies heavily on his casual workforce to provide the extra manpower required to operate effectively in the run up to the big day. While Santa’s team of elves are only employed to serve short term demands (and they are generally very honest and hardworking) they still need to be closely monitored to ensure they are serving their purpose. If they are consistently late, taking long breaks or failing to show up for work, Santa may run the risk of having to pay costly overtime to his permanent elves, or worse still - contract elves from the South Pole, who may have to be called in to cover shifts. Within his Workforce Management System, time and attendance tracking provides Santa with a real-time report on his casual elves' working time. In addition, when he links it up to project information or cost centres he can easily identify how the elves are performing against specific tasks, and address any issues before productivity and more importantly - the Christmas Eve deadline - is affected. Santa’s North Pole facility also operates on a 24/7 basis in the lead up to Christmas, which involves some clever scheduling and rostering of elves. Thankfully, Santa’s Workforce Management System allows him to create groups or pools of available elves who have nominated themselves as being available to work for certain times of the week. Santa can easily draw on this information to fill available positions or vacant shifts. And as all elves have mobile phones these days, Santa’s system uses the latest in mobile messaging to send an automated SMS text message out so they are aware of when they have been included in the shift. Likewise if a shift becomes available Santa can send an SMS text message from the system to his pool of elves to see if anyone is available to work, they can accept or decline via text message, and are scheduled on accordingly. Back in the Pay Office, Mrs Claus doesn’t know herself, she used to have to collect 100s of paper timesheets, decipher all the markings, calculate different pay rate, and key into her payroll system. But now, she can simply export all the elves’ time and attendance data straight into payroll without having to worry about any manual processing or the errors associated with it – she now has time to focus on other important admin tasks like making sure all Santa’s mail has been opened and replied to!
